Summary: The Executive Assistant will be responsible for supporting and enhancing the productivity of the Company by dealing with correspondence, calendaring and scheduling, time management, travel arrangements, contacts, and information management. The Executive Assistant is responsible for assignments which may be confidential and time-sensitive requiring professionalism and a high degree of judgment and initiative. The Executive Assistant is responsible for a wide variety of situations involving the executive staff and management team and must have the ability to prioritize responsibilities and handle conflicting timelines.

Essential Functions:
• Calendar management and scheduling of internal and external meetings for the team.
• Ensures that EVERY employee attend company Daily calls.
• Coordinates and arranges meetings, prepares agendas as needed, reserves and prepares facilities (internally and off-site).
• Helps manage travel arrangements for team.
• Greets visitors and ensures that the business requirements of visitors and other meeting attendees are met.
• Works with potential investors and lenders; provides a proactive professional image from our client to all customers and company executive visitors.
• Manages multiple tasks and action items (documentation, follow-up and preparation) ensuring appropriate and timely action on deliverables.
• Ability to complete tasks on time and in a professional manner; adhere to deadlines and execute various tasks.
• Conducts research and preliminary analysis of data specific to organizational goals/strategies and research and development, gathers data and creates reports.
• Composes and edits a variety of internal and external correspondence, and/or other related communications and documents; assures accuracy and a professional presentation.
• Creates and maintains websites; creates and disseminates marketing materials.
• Maintains LLC registrations and files annual reports.
• Remains informed regarding industry information.
• Attendance at real estate-oriented business groups.
• Willing to offer educated opinions and participate in decision making process.
• Responsible for managing and organizing local office.
• Attends meetings for President as assigned.
• Manages and orchestrates personal assignments for President.
• Prepares expense reports and credit card reconciliations.
• Conducts special projects as assigned.
• Plans and implements company events (Picnic, Holiday Party, Birthdays, etc.).
• Prepares outgoing mail and correspondence, including emails, faxes, couriers, and FedEx.
• Fields telephone calls and reviews mail, prioritizing all communications, and responds as appropriate.
• Performs general administrative and office management duties (photocopying, faxing, filing, answers and screens calls, reads and sorts mail, responds or routes as necessary). Records minutes when required.
• Works with bookkeepers and CPAs to ensure prompt payment to vendors, track all costs, payroll, etc.

• Advanced knowledge of office and administrative procedures, strong organizational skills, and expert PC skills.
• Enthusiastic attitude, cooperative team player, adaptable to new or changing circumstances, professional demeanor, sensitive to client needs, self-motivated, creative and innovative.
• Establish effective and cooperative working relationships with others.
• Task oriented, excellent organizational skills, ability to prioritize work load.

• Identify process improvement opportunities and respond accordingly.

Qualifications:
• Bachelors’ Degree strongly preferred plus three years of increasingly responsible administrative support experience; or an equivalent combination of education and experience sufficient to successfully perform the essential functions of the job.
• Real Estate experience preferred.
• Knowledge and experience with research criteria and database management.
• Advanced knowledge of Microsoft Office Suite.
